A webinar, virtual corporate event or hybrid event can involve personal data, confidential documents and, at times, thousands of attendees.

A data breach or unauthorized access can disrupt your event and erode the trust of your members, clients or employees.

Webinar data protection must therefore be built into the planning of every event. Whether it is an executive address, an annual general meeting or a training session, the data shared must be protected.

Here are five webinar security best practices to protect the information of your attendees and your organization during webinars, virtual corporate events and hybrid events.

## **1. Limit the data you collect at registration**

The more data you collect, the more you are responsible for protecting it. Only ask for the information needed to manage your event.

- Use a work email address when relevant.
- Restrict registration to invited or authorized attendees if the event is private.
- Avoid collecting sensitive information **that is not necessary**.
- Tell attendees how their information will be used.

**Key takeaway:** Match the data you request to the confidentiality level of the event. A members’ general meeting does not require the same data as a webinar open to the general public.

**2. Control access to your webinar**

A connection link shared without restrictions can allow unauthorized individuals to access your event. Access controls should therefore be tailored to the nature of the event and your audience.

- Use invitation-only registration for private events.
- Enable multi-factor authentication (MFA) or single sign-on (SSO) when these options are available and appropriate.
- Restrict access to recordings and confidential documents to authorized users.
- Assign distinct, limited event management roles to your team members (organizers and moderators).

**For example:** for an internal virtual corporate event reserved for employees, such as an executive address or a training session, SSO restricts access to users authenticated by your organization.

The [StudioCast](https://pqm.net/en/platform) webcasting platform, developed by PQM.net, offers access management and SSO authentication options to give you greater control over event participation.

## 3. Verify the security of the virtual event platform and data hosting

The security of your event also depends on the tools used to organize and deliver it. Before choosing a **webinar platform** or a virtual or hybrid event platform, ask these questions:

- Where is the data hosted?
- Who can access it?
- How is it encrypted, retained and deleted?
- What measures protect the information against unauthorized access?
- Does the platform support your privacy and compliance requirements?
- Does the vendor hold a recognized information security certification?

Hosting data in Canada can help meet your organization’s digital sovereignty requirements. However, it does not on its own guarantee compliance with all applicable personal information protection obligations.

### Which certification should you check with your vendor?

ISO/IEC 27001 certification, often referred to simply as ISO 27001, is a key indicator of how well a webcasting platform and services provider manages information security.

This internationally recognized standard sets out the requirements for a management system that helps identify risks, define protective measures and continually improve security practices.

It is based on three principles:

- **Confidentiality:** only authorized people can access the information.
- **Integrity:** information is protected against unauthorized modification.
- **Availability:** information and systems remain accessible when needed.

At PQM.net, [the webcasting services and the StudioCast platform are ISO/IEC 27001 certified](https://blog.pqm.net/en/iso-27001-certification?hsLang=en).

## 4. Protect exchanges interactionsand recordings

Q&A sessions, poll results, votes and recordings can contain confidential information. It is therefore important to control access to them and to govern how long they are retained.

**Before and during the event:**

- Determine who can view attendee questions and answers.
- Plan for live moderation to filter questions and comments, when necessary.
- Limit access to recordings to authorized individuals.

**After the event:**

- Define a retention period for recordings and collected data.
- Review access rights and remove permissions that are no longer needed.
- Delete data that no longer needs to be retained, in accordance with your retention policies.

## 5. Prepare an incident response plan

A technical disruption, unauthorized access or accidental disclosure can occur despite preventive measures. For a large-scale virtual corporate event, the impact is immediate. Preparation makes the difference.

- Define the responsibilities of your team and your vendor.
- Establish a procedure for reporting and managing an incident.
- Determine how to communicate with attendees if needed.
- Verify the business continuity measures in place in the event of an outage.
- Make sure you can reach technical support during the live webcast.

For major events, clarify these responsibilities with your vendor before event day. This way, you won’t have to improvise in an emergency.

## Large organizations: requirements to validate with your virtual event vendor

For a government department, a Crown corporation or a financial institution, the security of a virtual corporate event goes beyond the platform. IT teams, procurement officers and executive leadership also need to be reassured.

Before selecting a vendor, validate these points:

- **Security documentation:** Can the vendor complete an IT security questionnaire and provide proof of its ISO/IEC 27001 certification?
- **Access control:** Can you restrict event access to your employees, your members or authorized attendees?
- **Streaming capacity:** Can the platform host thousands of attendees simultaneously, regardless of their location?
- **Network impact:** Can the broadcast reach thousands of workstations without saturating your organization’s network?
- **Live moderation:** Can attendee questions and comments be screened before they are published?
- **Technical support:** Is a dedicated team available to prepare, manage and support the broadcast?
- **Hybrid and multi-site event management:** Can the vendor coordinate multiple venues, speakers and audiovisual sources within a single broadcast?

These elements allow you to compare vendors on concrete, verifiable criteria. They also support risk assessment and help you justify your investment to stakeholders.

## When should you bring in a webcasting agency?

Webinar security requires the right tools, rigorous preparation and technical coordination. For confidential or large-scale corporate events, a specialized webcasting company helps structure these operations.

PQM.net supports organizations in the planning and delivery of their live webcasts, virtual corporate events and hybrid events. Its team provides secure support tailored to the needs of each event.

Are you preparing a webinar, a virtual corporate event or a hybrid event for your organization?
